First create the following document :
Save the file.
Click on MAIL MARGE from the Tools menu.
Click CREATE, click FORM LETTERS and then click ACTIVE WINDOWS.
Click on GET DATA, click CREATE DATA SOURCE.
Click on REMOVE FIELD NAME button until all fields are removed.
Create field: NAME; JOBTIHF; DEPARTMENT; ADDRESS.
Click on OK.
Click on Start Mail Marge at the left of the START MAIL MARGE option from the Mailings tab.
Click on LETTERS.
Click on Select Recipients at the mid of the START MAIL MARGE option from the Mailings tab.
Click on TYPE NEW LIST.
Fulfill the requirements.
Click on OK.
Type the file name Main.
Click on SAVE.
Click on Select Recipients at the mid of the START MAIL MARGE option from the Mailings tab.
Click on USE EXISTING LIST.
Select the file Main.
Click on OPEN.
